Details:

* Full-time

* 40 hours per week

* Weekdays 7:30am-4:00pm

* On call rotation - every 4th or 5th week

* Weekends are occasional and also required during inventory twice per year

* Will work 3 weeks with the supply team to learn the areas and supplies

JOB SUMMARY:

Each job title holds the core responsibility of supporting materials management operations through the delivery of exceptional customer service and the accurate delivery throughout the Stillwater Medical Center System. The Customer Assistant is located at the Materials Management Customer Service Desk and is accountable to the Director of Materials Management for. Responsibilities include but are not limited to:

* Post-Master Services (centralized for system).

* Customer Service Help Desk:

* Centralized rep check-in and notification of arrival to the appropriate department directors/managers.

* Customer walk-ins with product questions, supply needs, etc.

* Answers the help desk phone and accepts Vocera calls and dispatches to the appropriate individuals.

* Schedules meetings via virtual or live as directed (virtual when possible).

* Processes pay apps and accurately records information on the capital spreadsheet.

* Maintains electronic certificate of insurance by scanning to file.

* Maintains electronic PO file by scanning to file and/or hard copy file.

* Credit Card check out process & receipt collection.

* EOM line-item revenue markup via spreadsheets.

* Price file updates.

* Acquisitions (IT, Fac Mgmt, & Automatics in the absence of the appropriate acquisition specialist)

* Relay and hold accountable those that are not following the standards of excellence by reporting incidents to the materials director.

* Ability to refrain from gossip.

QUALIFICATIONS:

* High School Graduate or GED Equivalent.

* Excellent Customer and People Skills.

* Exceptional Multi-tasking and Organizational Skills.

* Computer Experience.

* Exceptional telephone etiquette.

* Exceptional proof-reading and accuracy.

* Ability to work under pressure and handle stress.

* Critical Thinking Skills.

* Considerable ability to communicate effectively both orally and in writing.

* Ability to read and follow written instructions as well as write legibly.

* Basic and inventory mathematical skills: Ability to add, subtract, multiply, and divide in all units of measure; prepare cost analysis and comparative analysis.

* Understands the concept of inventory management PAR-level systems and simple accounting (debits and credits).

* Time & Attendance: Understand the importance of arriving to work without absence; the ability to master the use of the time clock effectively and accurately; and to understand the importance of arriving on time and departing on time.

* Ability to acknowledge and recognize the contributions of others in our work environment and "Manage Them Up" to the Director.

* Ability to represent the Materials Management Department and the Stillwater Medical System in a positive manner.

* Computer Experience: Know or learn Data Entry, Excel, Word, PowerPoint, Outlook Email & Calendar; MD Buyline, Contract Management Database, MD Buyline & ECRI Analytics, and other programs that support the various department processes.

PHYSICAL REQUIREMENTS:

* Must have adequate perception of sounds or adequate hearing with corrections.

* Adequate vision, or correctable with glasses/contacts, to prepare reports and read written materials.

* Safe lifting skills: The ability to lift to 50-lbs. with assistance (if ever needed).

* Stamina to manage standing, walking, pushing, pulling, bending at knees, stooping, and reaching.

* Sitting for extended periods of time.

* Able to hear, listen, and accurately relay information via telephone, cellular phone, and Vocera.

* Vision to read small print and record specific and accurate details.

* Stamina to deal with stressful situations and to complete necessary work within the allotted period.

* Stamina to process acquisitions with the appropriate levels of approval and to do so within 24 hours.

* Able to speak clearly and distinctly with staff, physicians, etc.
