About the Role: The Senior Accounting Manager oversees the full cycle of accounting and financial operations for ΚΚΨ and ΤΒΣ. This role is responsible for payroll administration, accounts payable and receivable, budget preparation, compliance with federal and state tax reporting requirements, and preparation of financial statements. The position also serves as the primary liaison with the external auditing firm and ensures adherence to sound financial practices. In addition, the Senior Accounting Manager will manage financial transactions related to fraternity and sorority operations, conventions, and scholarship programs, while providing accurate and timely reporting to leadership.

KEY RESPONSIBILITIES:

Accounting and Finance

  • Maintain the general ledger, accounts receivable, accounts payable, and organizational funds (General Fund, Trust Fund, District Fund, National Convention Fund).
  • Administer payroll and employee benefits payments, ensuring accuracy and compliance with applicable regulations.
  • Responsible for financial planning, budgeting, forecasting and analysis.
  • Prepare monthly, quarterly, and annual financial statements and reports for leadership and governing councils.
  • Manage investment account activity, deposits, and transfers.
  • Prepare and file all federal and state tax reports, including payroll taxes.
  • Serve as the primary contact with the auditing firm during the annual audit or financial review.
  • Monitor and reconcile credit card transactions and expense reports.
  • Audit vendor invoices, royalty payments, and contractor agreements.
  • Support convention and event-related financial operations, including jewelry consignment inventory, and district reimbursements.

Compliance and Reporting

  • Ensure compliance with nonprofit accounting standards and federal/state reporting requirements.
  • Track organizational spending levels and provide financial analysis for leadership decision-making.
  • Assist in preparing budgets, forecasts, and financial models for long-term planning.

Organizational Support

  • Collaborate with district and national leadership to support financial management of fraternity and sorority activities.
  • Assist with processing and disbursement of scholarships, grants, and matching awards.
  • Provide financial guidance and training for staff and leadership, as needed.
  • Oversight and coordination for the reimbursement process and distribution for both organizations.

DESIRED QUALIFICATIONS:

  • Membership in ΚΚΨ and ΤΒΣ is preferred. Members of other fraternities and sororities with relevant experience, or those with an interest in student affairs work, are also highly encouraged to apply.
  • Bachelor's degree in Accounting, Finance, or a related field (required).
  • CPA or advanced certification (preferred but not required).
  • Minimum of 5 years or more of progressive accounting or financial management experience, preferably in a nonprofit or small organizational setting.
  • Strong knowledge of QuickBooks.
  • Familiarity with payroll systems and benefits administration.
  • Attention to detail with proven ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills, with the ability to explain financial information clearly to non-financial stakeholders.
  • Proficiency in Microsoft Office (especially Excel and Word) and online file-sharing systems.
  • Strong analytical skills and comfort working with databases.
  • Commitment to the mission and values of the fraternity & sorority and willingness to understand its structure and operations.

Working Conditions:

The Senior Accounting Manager position is a full-time position located at the National Headquarters of Kappa Kappa Psi & Tau Beta Sigma, in Stillwater, Oklahoma. Possibility of hybrid schedule based on the candidate's location, minimum 3 days per week working in the National Headquarters. Occasional travel may be required to attend district or national conventions, 2 or 3 times per year.

Work Schedule: Regular work schedule is from 8:00 AM to 5:00 PM, Monday through Friday, with weekends off, except for special events such as District Conventions, National Conventions, and Council & Board Meetings. Other special events may occur 3 to 4 times per year.

Travel: 5-10%
